Job application email and letter maker for Kenya

Fill in the job, the employer and what you've done, and get a subject line, an email and a letter ready to copy. It sends nothing for you, so you stay in charge.

This tool runs only in your browser. Nothing you type is sent anywhere. No signup.

You

For example: 3 years as a sales assistant in a phone shop

For example: stock control, customer care and Excel

One sentence that could only be about them.

The job

For example: my certificates

Type your name, the job title and the employer to see your subject line, email and cover letter.

Before you send

  • Send it to the exact address in the advert, and copy the subject line if the advert gives one. Many employers filter on it.
  • Public service jobs usually go through the employer's own portal or form. Follow the advert: don't email a PSC or county post unless it says to.
  • Send your CV as a PDF with your name in the file name, such as Wanjiru-Otieno-CV.pdf. Attach certificates only if the advert asks.
  • Applying is free. If anyone asks you for money to pass your letter along, stop and check.

An application email in Kenya needs a subject line the employer can recognise, a short message and the right attachments. For example, the subject could read Application for Accounts Assistant, ref AC/12/2026: Wanjiru Otieno. Fill in the form, then copy the email or the letter. Nothing you type is stored, and nothing is sent until you send it yourself.

What does a good application email look like?

  • Subject: the job title, the reference if there is one, and your name. If the advert sets a subject line, copy it exactly.
  • Greeting: the person's name if the advert gives it, otherwise Dear Sir or Madam.
  • Body: the job, where you saw it, what you've done that fits, and what's attached. Three short paragraphs at most.
  • Attachments: your CV as a PDF, plus only what the advert asks for.
  • Signature: your name, phone and email.

Should I write in the email or attach a letter?

If the advert asks for an application letter, attach one and keep the email to a few lines. If it doesn't, the email itself can be your letter. The tool gives you both. Don't send the same long text twice.

What if the job is with the government?

Public service jobs usually run through the employer's own portal or application form, so follow the advert. Don't email a PSC or county post unless the advert says to. The Public Service Commission says it doesn't charge any fee for applications, shortlisting, interviews or appointments.

Before you press send

Then add the job to your tracker so that you know when to follow up.

  • Is the address exactly what the advert gives? One wrong letter sends your CV to a stranger.
  • Is the employer's name right, and not left over from your last application?
  • Do the attachments open, and are they named with your name?
  • Is the deadline still ahead of you?
  • Does your own email address look professional? Your name is enough.

Questions people ask

What should the subject of a job application email be?

The job title, any reference number and your name. For example, Application for Sales Representative, ref SR/04: Kevin Mwangi. If the advert sets a subject line, use that one.

Can I apply for a job by email without a cover letter?

Yes, unless the advert asks for one. A short email can do the job of a letter.

Does this tool send my email?

No. It writes the text and you copy it into your own email. It can open your email app with the text filled in, but you press send.

What's the right way to end a letter?

Yours faithfully if you wrote Dear Sir or Madam. Yours sincerely if you used a person's name.
