First job in Kenya: KRA PIN, NSSF and SHA checklist

Prepare your first-job records, keep control of official accounts and understand which details HR needs for KRA, NSSF and SHA onboarding.

Your first job can introduce several government records at once. A KRA PIN, NSSF membership and Social Health Authority registration serve different purposes. Organise the correct existing details, use official channels for new registrations and ask HR which information is needed before the first payroll.

Begin with the employer’s onboarding checklist

Ask for a written list showing each requested document, the purpose, the secure submission route and the deadline. Compare your name and identity details across the records before sending them. If a detail is wrong, use the issuing agency’s correction process instead of changing a scan.

Keep a private checklist and copies you can retrieve. Do not create a publicly shared folder containing your ID, tax details, certificates and bank information. Give the verified employer the information it needs through the agreed channel, while keeping control of the accounts behind it.

Check your KRA PIN and obligations

KRA describes the PIN as a personal identification number used in dealings with the authority and other institutions. If you already have one, retrieve the existing record through official KRA services rather than applying for another number. Check the details and give HR the requested PIN information.

For a new registration, follow KRA’s individual-PIN guidance. Tax obligations are a separate issue from merely possessing a PIN. Read the obligation selected in your account and ask KRA about anything you do not understand. This checklist does not calculate your tax or tell you which return to file.

Confirm the NSSF number you already hold

NSSF says members register once in their lifetime. An employer needs the correct membership number to make contributions to your account. If you have worked before, look for the existing number and resolve a missing record through NSSF’s official services.

For a first registration, use NSSF’s current employed-member guidance. Its published office route lists identity documentation and an employer introduction letter. Check the requirements before a visit, and keep the resulting membership information privately. Do not hand a recruiter a password as a substitute for the number HR needs.

Use official SHA registration information

The Ministry of Health publishes SHA registration guidance, including a USSD route. Use the authority’s current channels to check your record and employment details. Follow the instructions relevant to your circumstances rather than assuming a former record has completed every onboarding step.

Ask HR which SHA details it needs and how it will handle employer remittances. Registration information and payroll deductions are related but different questions. If your circumstances or personal details are incorrect, use the official correction or support route.

Review the first payslip without guessing

Check the period covered, basic or consolidated pay, allowances and individual deduction lines. A first payment may cover less than a full month, so establish the start date and payroll cut-off before comparing it with the monthly offer. Ask payroll to explain an unfamiliar line in writing.

Contribution and tax rules can change. Use the issuing institutions’ current guidance for the relevant payroll period instead of a screenshot from a previous year. Keep official receipts and records, and use formal support channels if details do not match.

Protect access to your accounts

Keep passwords and one-time codes private. If someone helps you at a shared computer, review the information entered, sign out and remove downloaded personal files from that device. Use an email address and phone number you can continue accessing after a job change.

The employer may need identifiers and documents for a legitimate onboarding process; it does not need to take over your personal email or government-service account. Clarify a request that goes beyond the agreed onboarding list before sharing more information.

Reconcile the first payroll with your registration records

Keep the employer’s onboarding checklist and your confirmed identifiers in a secure folder. Share information only through the employer’s stated HR channel and keep your own passwords and one-time codes private. If two documents show different names or numbers, resolve the discrepancy through the relevant official service instead of opening duplicate records to make the form accept them.

When the first payslip arrives, compare gross pay, each deduction and net pay with the written offer.
