What you will do
- Process approved requisitions into draft purchase orders accurately and promptly using ERP systems.
- Collect and compare quotations from approved suppliers, preparing comparison sheets for evaluation.
- Follow up on open orders with suppliers and transporters to confirm dispatch and delivery dates.
- Coordinate delivery schedules and site access with Stores and Security departments.
- Obtain Goods Received Notes from Stores and attach them to purchase order files.
- Support invoice matching by assisting with three-way matching queries among purchase orders, goods received notes, and invoices.
- Maintain complete and organised procurement files and prepare regular procurement status reports.
Requirements
- Diploma or Bachelor's degree in Procurement & Supply Chain Management, Purchasing, Business Administration or related field.
- At least 2 years of practical procurement or purchasing experience in an operational environment.
- Proficiency in ERP or procurement systems such as Pronto, SAP, Oracle, Sage or equivalent.
- Competent Microsoft Excel skills for order tracking and reporting.
- Experience preparing purchase orders, collecting and comparing quotations, and maintaining procurement records.
- Knowledge of KRA tax compliance, VAT, Withholding Tax and eTIMS invoice requirements.
- Registered member or willing to register within 6 months with the Kenya Institute of Supplies Management (KISM).
- CPSP-K or CIPS Level 2–3 certification completed or in progress is advantageous.
- Experience in mining, construction, manufacturing or remote-site environments is preferred.
- Absolute personal integrity with a valid Certificate of Good Conduct required.
- Highly organised and able to manage many open orders without losing detail.
- Willingness to reside at the West Pokot Mine Site as per the approved roster.
