Job Role

The Accounts Assistant is responsible for supporting the day-to-day financial and accounting operations of the real estate company. The role involves maintaining accurate financial records, processing transactions, assisting with reconciliations, monitoring payments and collections, and supporting the preparation of financial reports. The ideal candidate should be detail-oriented, organized, numerically competent, and able to maintain accurate and confidential financial records.

PURPOSE OF THE ROLE

  • Support accurate and timely recording of financial transactions.
  • Maintain up-to-date accounting records and documentation.
  • Support rent, service charge, supplier, and other property-related financial processes.
  • Assist with bank, cash, tenant, and supplier reconciliations.
  • Support timely preparation of financial reports.
  • Ensure proper filing and maintenance of financial documents.
  • Assist in monitoring receivables, payables, and outstanding balances.
  • Support compliance with internal financial procedures and controls.

DUTIES AND RESPONSIBILITIES

Accounting & Transaction Processing

  • Record daily financial transactions accurately and on time.
  • Prepare and process invoices, receipts, payment vouchers, and other accounting documents.
  • Post transactions into the accounting system.
  • Assist in maintaining accurate ledgers and financial records.
  • Verify supporting documents before processing transactions.
  • Assist with petty cash management and reconciliation.

Receivables & Tenant Accounts

  • Assist in monitoring tenant rent and service charge collections.
  • Maintain accurate tenant account records.
  • Follow up on outstanding balances as directed.
  • Prepare tenant statements and collection schedules.
  • Record and allocate tenant payments accurately.
  • Escalate overdue accounts and discrepancies to the Accountant or Finance Manager.

Payables & Supplier Accounts

  • Process supplier invoices and payment documentation.
  • Verify invoices against supporting documents and approved requests.
  • Maintain supplier account records.
  • Assist in tracking outstanding supplier payments.
  • Reconcile supplier statements and resolve discrepancies.

Bank & Account Reconciliations

  • Assist in preparing regular bank reconciliations.
  • Reconcile cash, tenant, supplier, and other relevant accounts.
  • Investigate and report discrepancies for correction.
  • Maintain proper supporting documentation for reconciliations.

Financial Reporting & Documentation

  • Assist in preparing weekly and monthly financial reports.
  • Compile financial information required by management.
  • Maintain organized financial records and supporting documents.
  • Assist with preparation of schedules for management and audit purposes.
  • Ensure financial documents are properly filed and easily accessible.

Compliance & Internal Controls

  • Follow established accounting policies and procedures.
  • Ensure transactions have the required approvals and supporting documentation.
  • Maintain confidentiality of financial and tenant information.
  • Support internal and external audit processes.
  • Report unusual transactions, discrepancies, or control issues to the relevant supervisor.

QUALIFICATIONS

  • Diploma or Bachelor’s Degree in Accounting, Finance, Commerce, Business Administration, or a related field.
  • At least 1–2 years’ experience in an accounting or finance support role.
  • Experience with accounting software is required.
  • Experience in a real estate, property management, construction, or related environment will be an added advantage.
  • CPA Part I or above will be an added advantage.

  • Accurate data entry and transaction processing.

Salary disclosed: KES 32,500 - 35,000
