Job Overview

Our client is an established laboratory and consultancy services provider offering professional testing, inspection, consultancy, training, and related technical services to businesses and organisations. The company is seeking a hands-on and solution-oriented Accountant to support its financial and operational functions.

The Accountant will be responsible for managing the day-to-day financial operations of the organisation, with a strong focus on accounts payable, accounts receivable, inventory, payroll, statutory compliance, reconciliations, billing, collections, and financial controls .

The successful candidate will work closely with Management and other departments to ensure accurate financial records, timely payments and collections, proper inventory controls, and efficient financial processes. Accounts Payable & Supplier Management

  • Manage supplier invoices and ensure timely and accurate processing of payments.
  • Verify supplier invoices against purchase requests, delivery notes, quotations, contracts, and approved documentation.
  • Maintain accurate supplier records and reconcile supplier accounts.
  • Ensure approved supplier payments are processed within the required timelines.
  • Follow up on outstanding supplier documentation and resolve payment discrepancies.
  • Support negotiations and identification of cost-saving opportunities where appropriate.

Accounts Receivable, Billing & Collections

  • Prepare accurate client quotations for laboratory testing, consultancy, training, audits, and related services.
  • Prepare and issue invoices based on approved quotations, contracts, LPOs, and services rendered.
  • Ensure all services provided are billed accurately and on time.
  • Maintain an updated accounts receivable schedule.
  • Monitor outstanding balances and follow up with clients to ensure timely collections.
  • Resolve billing queries in coordination with the relevant departments.
  • Prepare regular debtor and collection reports for Management.

Financial Reporting & Reconciliations

  • Maintain accurate and up-to-date accounting records.
  • Prepare monthly financial reports and management summaries.
  • Conduct timely bank, supplier, customer, and other relevant reconciliations.
  • Monitor revenue, expenses, cash flow, and overall financial performance.
  • Provide Management with financial information and insights to support decision-making.
  • Maintain proper documentation and audit trails for all financial transactions.
  • Support internal and external audits when required.

Payroll & Statutory Compliance

  • Process monthly payroll accurately and within the required timelines.
  • Ensure accurate calculation and remittance of statutory deductions.
  • Prepare and submit statutory returns, including PAYE, NSSF, SHA, Housing Levy, NITA, VAT where applicable, and other statutory obligations.
  • Maintain a statutory compliance calendar and ensure all payments and filings are completed on time.
  • Maintain proper records and supporting documentation for statutory submissions.
  • Liaise with relevant statutory bodies, auditors, and tax advisers when required.

Inventory & Stock Control

  • Maintain accurate accounting records for laboratory consumables, reagents, chemicals, PPE, stationery, and other operational supplies.
  • Verify stock received against supplier documentation and approved purchase requests.
  • Support stock-taking, stock reconciliation, and investigation of variances.
  • Monitor stock usage, wastage, expiries, and abnormal consumption.
  • Maintain accurate inventory records and prepare regular stock reports.
  • Work closely with Stores, Procurement, Laboratory, and Operations teams to strengthen inventory controls.

Cost Control & Operational Finance

  • Monitor operating expenses and identify areas for improved cost efficiency.
  • Review purchase requests and ensure they are properly supported and approved.
  • Manage petty cash, operational advances, fuel expenses, and other business-related expenses.
  • Reconcile travel and fieldwork expenses and ensure supporting documentation is complete.
  • Monitor transport and operational costs and ensure accurate posting in QuickBooks.
  • Identify financial or operational challenges and recommend practical solutions.

Asset & Contract Management

  • Maintain an updated fixed asset register, including laboratory equipment, office assets, tools, and other company assets.
  • Ensure newly acquired assets are properly recorded and tagged.
  • Maintain records of client contracts, supplier agreements, subscriptions, licences, and renewals.
  • Monitor contract expiry dates, pricing, payment terms, and other financial obligations.
  • Flag financial or contractual risks to Management in good time.

Internal Controls & Business Support

  • Ensure proper financial controls, approvals, documentation, and filing are maintained.
  • Work closely with Laboratory, Consultancy, Operations, Stores, Procurement, and Client Service teams.
  • Support Management with timely and accurate financial information.
  • Identify gaps in financial processes and recommend improvements.
  • Promote financial discipline, accountability, and cost awareness across the organisation.

Key Qualifications & Experience

  • CPA(K) qualification is required.
  • Bachelor’s degree in Accounting, Finance, Commerce, or a related field.
  • A minimum of 5 years of relevant accounting experience .
  • Proven experience managing accounts payable, accounts receivable, payroll, and inventory .
  • Strong knowledge of statutory compliance and payroll deductions.
  • Proficiency in QuickBooks will be a plus.
  • Experience with financial reconciliations, billing, collections, and financial reporting.
  • Experience working in a laboratory, healthcare, consultancy, manufacturing, or other operationally intensive environment will be an added advantage.
