What you will do

  • Coordinate procurement activities following BRAC International policies, donor rules, and local laws.
  • Prepare procurement documents ensuring compliance and readiness for approval.
  • Support contracting processes for consultants and service providers to ensure timely contract execution.
  • Act as the main contact for consultants, contractors, and vendors to facilitate communication and coordination.
  • Prepare payment documents and coordinate payment requests for timely processing.
  • Manage consultant onboarding, contract administration, amendments, renewals, and closures.
  • Maintain contract records and trackers to ensure compliance and audit readiness.
  • Coordinate updates and reporting of the operational risk register quarterly.
  • Support implementation of internal policies and procedures.
  • Maintain operational records and compliance documentation.
  • Coordinate annual procurement planning and update procurement plans.
  • Prepare reports, dashboards, and management updates.
  • Follow up on operational meeting action points and requests from countries and central functions.
  • Coordinate programme-wide operational activities, workshops, meetings, and virtual events.
  • Coordinate staff onboarding related to procurement.
  • Manage programme subscriptions, licences, and shared operational services.
  • Serve as the focal point for the Zoho Travel platform, including user onboarding and policy guidance.
  • Coordinate office administration, supplies, equipment, and facilities requests.
  • Maintain country asset and inventory records and support verification processes.
  • Arrange travel and logistics for staff, consultants, partners, and programme activities.
  • Promote and implement safeguarding policies to protect team members and stakeholders.
  • Follow safeguarding reporting procedures for any incidents.

Requirements

  • At least 4 years of professional experience in business operations, programme support, procurement, administration, logistics, contract administration, or project coordination.
  • Experience supporting multi-country programmes or working in international NGOs or development organisations is highly preferred.
  • Strong coordination and organisational skills.
  • Excellent stakeholder management and communication skills.
  • Strong planning, reporting, and analytical skills.
  • Experience with ERP and business systems such as Oracle, Zoho, SAP, NetSuite, or similar.
  • Proficient in Microsoft Office, especially Excel and PowerPoint.
  • Ability to manage multiple priorities and work with geographically dispersed teams.
  • Strong attention to detail, professionalism, and customer-service orientation.
