What you will do

  • Provide comprehensive programme and administrative support for complex HR and programme initiatives with minimal supervision.
  • Research, compile, and analyse data on programme, administrative, and HR issues to inform management decisions.
  • Track legislative resolutions affecting programmes and maintain relevant databases.
  • Review and revise HR submissions for compliance and recommend actions to management.
  • Coordinate financing arrangements with funding agencies and ensure monitoring systems are in place.
  • Draft HR reports, workforce analytics, and monitoring tools to track programme implementation.
  • Oversee recruitment documentation and contracting processes for non-staff personnel, ensuring compliance with UN regulations.
  • Prepare newsletters and draft various documents related to programme activities.
  • Serve as focal point for coordination and monitoring of HR programme activities, liaising with different units to resolve issues.
  • Arrange formal project closures including budget revisions, equipment transfer, and report publication.
  • Provide secretariat services and guidance on non-staff personnel policies and administrative requirements.
  • Supervise office support staff including assigning work, training, and evaluating performance.
  • Assist with data collection, analysis, and preparation of reports and presentations for decision-making.
  • Support updating of information materials such as web pages or brochures.
  • Perform other related duties as assigned.

Requirements

  • Completion of high school diploma or equivalent is required; additional relevant training is desirable.
  • At least ten years of progressively responsible experience in programme/project administration, administrative support, human resources administration, or related fields.
  • Four years of experience supporting recruitment and administration of non-staff personnel.
  • Experience with Enterprise Resource Planning (ERP) systems like Umoja, SAP, or similar for at least three years, especially in HR, programme, or administrative processes.
  • Three years of experience supporting preparation, monitoring, processing, or quality review of recruitment documents for non-staff personnel in the UN or a similar international organisation.
  • Experience coordinating HR actions across multiple units and maintaining personnel records and databases is desirable.
  • Experience with PeopleSoft-based HR or recruitment applications such as Inspira is desirable.
  • Experience supporting inter-agency coordination on HR matters is desirable.
  • Experience in monitoring HR and programme activities and supporting corrective actions is desirable.
  • At least one year of experience in data analytics or related field is desirable.
  • Proficiency in English at UN Level II for reading, writing, listening, and speaking is required.
